Take Care of the Box
Deagro Petty Cash: two companies belonging to the same family, closely related by internal transfers of merchandise (farm, grain), share the management of money for daily cash expenses (“petty cash”).Five people handle cash and an administration manager consolidates the information of all those movements and controls the surrenders.
Problem
The problem was that each person detailed the movements made in an individual spreadsheet and/or on a sheet of paper. Cash reconciliation was difficult and time consuming. The updated balance was not available and you could always explain the differences that arose. Nor was it easy to assign each expense to one of the two companies or to a particular business unit.
Our Solution
To solve these problems, we designed very simple load sheets, with controls to ensure that each movement is assigned to a company and a business unit. In addition, each spreadsheet calculates the balance of the box at all times, so that the user can easily control it day by day.
These payrolls are consolidated in a very simple way in a single payroll, where the person in charge of administration keeps a unified control of the movements and updated balances of each person. Information is much more secure, easier to access and control, and faster to process than before.
